How to fill in and edit a PDF

This is the tool for finishing a PDF rather than rewriting it: filling in an application form, typing an address onto a letter template, highlighting the clauses that matter, adding an arrow and a note, or dropping a logo onto a page. If the PDF has fillable fields, they are detected as soon as it opens and you can fill them on the page or from a list.

Editing without uploading: what happens to your document

The editor runs in your browser. Your document, and whatever you type into it, stays on your device.

Added text uses the standard Helvetica, Times or Courier fonts. For accented and other non-English letters we embed a matching font so the text stays real and selectable; scripts no bundled font covers (such as Chinese or Japanese) are drawn as a high-resolution image of the text instead, so they display correctly everywhere but can’t be selected.

Choose Flatten the form when saving to fix field values onto the page so they can no longer be changed. Some forms use an older Adobe-specific format called XFA that browsers can’t fill; we’ll tell you, and if the file also contains a standard form we offer that instead.

Worked example

Completing and sending a form

A club membership form has 12 fields. Open it and the panel shows “Form fields · 12”. Type into each one on the page or in the list. The form has no box for a membership number, so pick Text, click beside the heading and type it. A pre-printed old address is wrong: choose Whiteout, drag over it, then add the new address on top. Tick Flatten the form when saving so the recipient sees exactly what you typed, and download.

Good to know

  • Whiteout is not redaction. It covers content visually, but the original text is still in the file and can be copied or recovered. Don’t use it to hide sensitive information.
  • You can add new text but not change text that’s already in the PDF.
  • Every item can be moved with the arrow keys (Shift for 10 points) and resized with + and −; Ctrl+Z undoes.
  • For signatures, initials and dates, Sign PDF has dedicated tools; for a DRAFT stamp, use Watermark.

Can I edit existing text?

No. You can add new text anywhere and cover old text with whiteout, but changing the text already in a PDF isn’t supported.

Is whiteout the same as redaction?

No. Whiteout only covers content visually; the original text is still in the file. To remove sensitive information permanently you need a proper redaction tool.

Why can’t I fill this form?

It probably uses XFA, an Adobe-specific format that browsers and most PDF tools can’t fill. If the file also has a standard form version, we offer to use that.

Can I type in other languages?

Yes. Accented and most European letters are embedded as real text. Scripts not covered by our bundled font, such as Chinese, are added as a crisp image of the text.

Can I add a picture or logo?

Yes. Choose Image, pick a PNG or JPG, then place and resize it on the page.
