How to redact a PDF so the content is really gone

Redaction is how you share a document without sharing everything in it: a tenancy agreement with the other tenant’s details taken out, a bank statement with the account number removed, a witness statement or a freedom of information response with names blacked out. The important word is removed. A black rectangle drawn on top of text only changes what you see. The words are still in the file, and anyone can select, copy or search them.

This tool does the other thing. When you apply your boxes, the text, graphics and image pixels underneath each one are deleted from the page, and a solid box is drawn where they were. Because the work happens in your browser, the document you are trying to protect never travels to us, or to anyone else. For the full story of how redactions fail, and how to check yours, read how to redact a PDF properly.

  1. 1

Open the PDF and look at every page first

Press Choose a PDF or drop the file onto the panel. The first page appears large, with the page count and file size above it and Undo and Redo beside them. Password-protected files ask for the password first and are decrypted in memory only; the redacted copy you download is saved without a password, so add one afterwards with Protect PDF if it needs one.

Before marking anything, step through the pages with the arrows under the preview and note where the sensitive details sit. Headers, footers, captions, table cells and small print are where names turn up a second time.

  2. 2

Draw boxes for anything you can point at

The Draw boxes tab is the default. Drag across the page to draw a box. Drag a box to move it, pull its handles to resize it, and press Delete to remove the selected one. If you cannot use a mouse, press Add a box to drop a box in the middle of the page, then move it with the arrow keys and resize it with Shift and the arrows.

Boxes are the right tool for anything that is not searchable text: a signature, a logo, a photograph, a handwritten note on a scan, or a stamp. The side panel counts your boxes and lists the pages that have them, with a Go button for each.

  3. 3

Or search, then check every shaded match

Switch to Find text and type a word, a phrase or a pattern, then press Find on all pages. The tool reads the text layer of every page and shades each hit in amber, with a list of matches and their page numbers. Options let you match case, match whole words only, or treat the entry as a regular expression.

Five one-click searches sit underneath: email addresses, UK phone numbers, National Insurance numbers, card-like numbers and UK postcodes. Skip any match you do not want with the small cross beside it, then press Redact all to turn the rest into boxes. You can run several searches in turn; boxes from earlier searches stay.

  4. 4

Preview, choose the fill and apply

Preview result turns every box solid so you can see the finished page. Choose black or white fill, and leave Also clear document properties and thumbnails ticked unless you need the title and author kept. Then press the button, which reads, for example, Redact 13 areas.

The result card reports how many areas were redacted and on which pages, how many characters of text were deleted, how many images had pixels cleared, whether properties were cleared, and whether the check of the new file found any removed text. Download the file, then run the tests in the sections below before it goes anywhere.

Redact PDF features

  • Draw boxes on a page preview, or search for text and redact every match
  • Deletes the text and image pixels under each box instead of covering them
  • Preview how the pages will look before you apply anything
  • One-click searches for email addresses, UK phone numbers, National Insurance numbers, card-like numbers and postcodes
  • Optionally clears document properties and thumbnails that could repeat what you removed
  • Undo, redo and full keyboard control of every box
  • A report of what was removed, with a check that the removed text is gone from the new file

Redaction without uploading: what happens to your file

Your file is read into this browser tab and processed by code running on your own device. Nothing is sent to a server, including the words you search for and the boxes you draw.

When you apply the redactions, the page’s drawing instructions are rewritten. Text inside a box is deleted from the page, vector graphics are clipped away, and the pixels of any image under a box are cleared. Then a solid box is drawn in the fill colour you chose. The new file is read back and checked for the text that was removed, and the result is shown in a short report.

  • Text search is a convenience, not a guarantee. The shaded boxes show what a search will cover. Look through them before you apply, especially for names that are split across lines or spelt in different ways.
  • Other parts of the file are separate. Form field values, comments and attachments are not page text. Flatten forms first with Flatten PDF, and clear comments and attachments with Remove metadata.
  • Scans are pictures. On a scanned page there is no text to delete, so the pixels under your box are cleared. If an invisible text layer from OCR sits underneath, it is removed too.
  • Document properties such as the title and author can repeat what you removed. They are cleared by default; untick the option if you want to keep them.
Worked example

Preparing a tenancy bundle for the other side

A 14-page bundle includes a bank statement showing a sort code and account number on pages 3 and 9, and the previous tenant’s name in several places. Open it and choose Find text. Search for the surname: the tool reports 11 matches across five pages, shaded in amber so you can check each one. Press Redact all 11. Then switch to Draw boxes and drag a box over the two account numbers.

Press Preview result to see solid black boxes, then Redact 13 areas. Download bundle-redacted.pdf. Before you send it, open the file and press Ctrl+F for the surname. It should find nothing. Try selecting the area under a box, too: there is no text to select.

Good to know

  • Always search the finished file for a word you removed. If it is found, something is still in there.
  • Redact from a copy of the original, and keep the original somewhere safe. A redacted file cannot be un-redacted.
  • Black is the usual fill for legal and public documents. White is better when you only want to tidy a layout.
  • Anything that was visible in the old file, including small print, headers and footers, needs its own box. Use the page arrows to check every page.
  • Need to hide a whole page? Delete it with Organize pages instead of covering it.

How redaction works inside a PDF, and why a black box is not it

A page in a PDF is a small program called a content stream. It says things like “select this font at 11 points, move to this position, show the string Smith”, then “paint this image here”, then “fill this rectangle in black”. Text is shown by operators such as Tj and TJ inside a text object, and what is stored is character codes plus a font, so the words remain real, searchable text. A black rectangle is just another instruction later in the list. Nothing earlier is affected.

Real redaction edits the list. For each area you mark, this tool does four things to the page:

  1. It removes the text that falls inside the area, so the character codes are no longer in the content stream.
  2. It removes or clips vector paths inside the area, such as rules, shapes and table borders.
  3. It clears the pixels of any image under the area. The picture stays on the page, but the covered part of it is blank, and the original pixels are not kept anywhere in the file.
  4. It draws a solid rectangle in your chosen fill where the content used to be.

The whole file is then written out again from scratch. That matters because a PDF can be saved incrementally, with edits appended after the original data and the older objects left in place. A redaction applied as an appended change would leave the unredacted page sitting in the file. A complete rewrite does not carry the old objects over.

Finally the tool reads the new file back and extracts its text. If any text you removed, or any text that sat inside a box, is still there, the result card says so with a warning instead of a tick. That check is the reason to trust the output more than the preview, and it is still worth repeating by hand with a second program.

What a box actually covers

Boxes are stored as fractions of the page as you see it, so a rotated page or a page whose visible area is smaller than its stored size is handled for you. Boxes made from a search extend a pixel or so past each match and slightly below the baseline so that descenders such as the tails of g, j and y fall inside. If you draw by hand, draw generously: a box that clips the top of a line can leave the lower half of the letters in place.

When to use Redact PDF, and when something else is the right answer

Good fits

  • Disclosure and legal bundles. Removing a third party’s name, address or date of birth from a witness statement, a medical record or a tenancy file before it goes to the other side.
  • Subject access and freedom of information responses. Taking out other people’s personal data while leaving the rest of a letter or email chain readable.
  • Financial paperwork. Hiding an account number and sort code on a bank statement you must send as proof of address or income, while leaving the balance and dates.
  • Publishing. Removing a name or a location from a report that goes on a public website.

Better handled another way

  • Whole pages. If an entire page should not go, delete it with Organize pages or keep only the pages you want with Extract pages. That is cleaner than boxing a full page.
  • A cosmetic cover-up. If you only want to hide a stray scribble and nothing sensitive is involved, the whiteout in Edit and fill is enough, and it says plainly that it does not remove anything.
  • Hidden file data. Author names, comments and attachments are not on the page. Use Remove metadata for those.
  • Scans with no text layer, when you need to find things. Run OCR PDF first so that searching works, then redact.

One distinction is worth stating directly. Redaction here means deletion from the file, and it is permanent in the copy you download. If you may need the original text again, for example because a court later orders disclosure of the unredacted version, that is a reason to keep the original file carefully, not a reason to avoid redacting the copy.

Search reads each page’s text layer, the same layer your reader uses for Ctrl+F. That has three practical consequences.

  • Only real text is found. Words inside a photograph, a scan without OCR, or a logo are not text, so they are never matched. The tool tells you when a search finds nothing on what looks like a scanned file.
  • Matches run along the page text as it is read. A name broken across two lines has a line break between its parts, so a plain phrase search for the full name will not match it. Use the pattern option and write Jane\s+Smith, where \s+ matches any run of spaces or line breaks.
  • Different spellings need different searches. Search the surname alone as well as the full name, plus initials, possessives and any nickname. Capital letters are ignored unless you tick Match case.

The one-click patterns, and their limits

ButtonWhat it looks forWatch for
Email addressesText shaped like name@domain.tldMisses addresses split over two lines or written as “name (at) domain”
UK phone numbersNumbers starting 0 or +44, in groups of digitsCan also catch other digit groups that look similar, such as some reference numbers
National Insurance numbersTwo letters, six digits, a final letter A to D, with optional spacesWill not match one with a typing error, or one written with hyphens
Card-like numbersRuns of 13 to 19 digits, with optional spaces or hyphensDoes not check the number is a real card; long invoice or tracking numbers match too
UK postcodesStandard outward and inward code formatsWill not catch a postcode with a typo or one split across lines

These are conveniences for finding candidates quickly. Read the list before pressing Redact all. The tool lists the first 200 matches on screen and stops collecting at 1,500, saying so if it does; if you reach that limit your search is too broad, so narrow it.

Why your search is also sent to the engine

When you press Redact all, the matches become boxes. The tool also hands the original search to the redaction engine, which is running on your device in the same tab. The engine repeats the search itself over the page contents, so a match that the preview boxed slightly short of the word edge is still removed. Both steps happen locally and neither involves a network request.

Doing it in Acrobat, Preview, Word or Google Docs instead

ProgramReal redaction?Notes
Adobe Acrobat ProYesMark areas, then apply the redactions as a separate step; the paid Pro edition is needed. Its “Sanitize Document” command is the counterpart of our Remove metadata tool. The free Reader cannot redact.
Apple PreviewCheck your versionPreview’s Markup shapes and highlighter are annotations drawn over the page. Whatever redaction feature your macOS version offers, test the exported file with the checks below before you rely on it.
Microsoft WordNoWord has no redaction command. Black shading or a black highlight changes how text looks, not what is stored, and exporting to PDF keeps the text. Delete the words, then export.
Google DocsNoNo redaction command either, and version history keeps earlier drafts. Delete the text you need to lose, and download the PDF from the cleaned version.
Browser PDF viewersNoTheir drawing and highlighting tools add annotations on top of the page.

For a document that began life in Word, the most reliable redaction is often upstream: delete the sensitive words in the source, check the document properties, export a new PDF, and use this tool only on files whose source you no longer have. For PDFs you received, there is no source, and this is the case the tool is for.

Two worked examples with numbers

These use round figures to show how the choices play out. They are illustrations of the arithmetic and workflow, not timing or size benchmarks.

A 60-page disclosure bundle with a witness’s details

A bundle of 60 pages mentions a witness named in 23 places across 17 pages, gives her address on pages 4 and 41, and includes a photograph of her front door on page 29. Search for the surname: 23 matches. Search for the street name: 2 matches. Check the lists, press Redact all after each, and draw one box over the door number in the photograph. That gives 26 areas on 18 pages. Because the surname alone was searched, the possessive “Patel’s” was found as well as “Mrs Patel”.

After applying, the result card reports 26 areas, a few hundred characters deleted and one image with pixels cleared. Search the downloaded file for the surname and for the street name: no results. Then extract everything with PDF to text and read the page 4 and 41 output to confirm no address fragments such as a postcode survive.

A bank statement for a mortgage broker

A 3-page statement shows the sort code and account number in the header of each page. That is six boxes. Use Find text with the pattern option and search the account number digits, which finds all three header copies, then add the sort code the same way. Choose white fill if you want the gap to read as blank space, or black if the recipient should see that something was removed; for anything official, black is the convention.

Limits and edge cases you should know about

  • Redaction removes content, not meaning. If a paragraph says “the claimant lives in the only house on the island” and you box only the address, the sentence still identifies someone. Read for context, not just for strings.
  • Scans with an invisible text layer. If a scan has an OCR text layer over the picture, both are handled: pixels are cleared and the text under the box is deleted.
  • Fonts that map characters oddly. A few PDFs store text with fonts whose character mapping is wrong or missing. Search then shows different letters from the ones on screen, or finds nothing. Draw boxes by eye in that case.
  • Vector artwork that spells words. Text converted to outlines in a design program is shapes, not text. Search cannot find it, though boxes clip the shapes.
  • Bookmarks, form values, comments and attachments live outside the page. Flatten forms first with Flatten PDF, then clean the rest with Remove metadata. The bookmark panel is worth checking by eye, as bookmark titles often repeat names.
  • Signed PDFs. Rewriting a file changes the bytes a digital signature covers, so treat a redacted copy of a signed file as unsigned.
  • Device memory. There is no page limit, but a very large file with many images needs memory. A 300-page, 200 MB scan is better handled on a computer than a phone.
  • Warnings are real. If the result card shows a warning, for instance that the check could not be completed, do not send the file until you have tested it by hand.

Testing the redacted file before it leaves your hands

Test in a different program from the one that made the file. A short routine takes two minutes.

  1. Open the download in your usual reader and press Ctrl+F (Cmd+F on a Mac) for each removed name and number, and for a fragment of each. Expect no results.
  2. Press Ctrl+A, copy, and paste into a plain text editor. Scan the text for anything that should be gone.
  3. Try to select the text under one of the boxes. Nothing should highlight.
  4. Open the document properties and confirm the title, author and subject are empty or harmless.
  5. Check the file name. It often contains the very name you removed.

For a stronger test, drop the output into PDF to text, which lists every word the file holds in reading order.

Privacy: the document, the boxes and the search words stay on your device

Redaction is the one job where uploading the file defeats the purpose, because a web service that receives your document has seen the unredacted version before it does anything. Here the page, the preview renderer, the search and the redaction engine all run in your browser tab. No part of the file, no box position and no search term is sent to any server, and the tool does not need an account.

You can check this for yourself: open your browser’s developer tools, watch the Network tab while you open a file and redact it, and you will see no request carrying your document. The verification guide walks through it, including switching your connection off partway through. One honest caveat: the tool’s own scripts and the redaction engine are downloaded the first time you use it, as with any web page, and the download contains nothing from your file.

Redact PDF: troubleshooting

Find text finds nothing, but I can see the word
The page is probably a scan or the word is inside an image or logo. There is no text layer to search. Run OCR PDF first, or draw boxes by hand. The tool shows this hint when a search returns no matches.
Find text finds the wrong letters or odd characters
The PDF’s fonts do not map their characters properly. Draw boxes by eye, and afterwards check with PDF to text to see what text the file really contains.
A name split over two lines was not matched
A plain phrase search will not cross a line break. Tick the pattern option and search First\s+Last, or search the two words separately.
“Your browser couldn’t draw a preview of this file, so boxes can’t be placed visually”
The preview renderer could not open the file, so there is nothing to draw on. Try another browser, or run the file through Repair PDF first and redact the repaired copy.
The result card shows a warning instead of “Checked: the removed text is not in the new file”
Do not send the file. Run the hand tests above, then add boxes for anything still found and redact the output again. Redacting a second time is safe: it only removes more.
The redacted text is still found in the downloaded file
Check that you downloaded the new file, not the original, and that the match is not a second occurrence you did not box, such as a footer or a bookmark. Search for it in PDF to text to see where it sits.
“This PDF needs a password”
Enter the password when prompted. If you only have a restrictions password and cannot open the file, Unlock PDF handles known passwords. The tool does not guess passwords.
The page ran out of memory or the tab slowed to a stop
Close other tabs, or redact on a computer rather than a phone. For a very large scan, split it with Split PDF, redact the parts, and merge them again.
Too many matches: “Showing the first 1500”
Your search is too broad, often a short string or a card-like pattern matching long reference numbers. Narrow it with whole-word matching or a more specific pattern.

Glossary

Redaction
Permanent removal of content from the file, with a visible mark where it was. Covering is not redaction.
Content stream
The list of drawing instructions that makes up a page: text, paths and images, painted in order.
Text layer
The real, searchable text in a page. Scans have none until they pass through OCR.
OCR
Optical character recognition: reading the words in a picture of a page and adding them as hidden text.
Incremental save
Saving by appending changes to the end of a PDF, leaving old objects in place. A redaction should never be saved this way.
Regular expression
A compact pattern language for text matching. \s+ means one or more whitespace characters.
XMP
An XML metadata packet that can repeat a document’s title, author and edit history. Cleared by default when redacting.
Fill colour
The colour of the solid box drawn where content was removed: black or white in this tool.

Redact PDF: frequently asked questions

Is this real redaction, or just a black box?

It is real redaction. The text, vector graphics and image pixels under each box are deleted from the page before a solid box is drawn in their place, so there is nothing left to copy, search or uncover.

How can I check that the text is really gone?

Open the downloaded file and use the search shortcut (Ctrl+F, or Cmd+F on a Mac) for something you removed. Try selecting and copying the area under a box, too. The tool also reports whether its own check of the new file found any of the removed text.

Does it work on scanned documents?

Yes, in a different way. A scan is a picture, so the pixels under each box are cleared. You can only search for text if the scan has been through OCR PDF first; otherwise draw boxes by hand.

Can I undo a redaction after downloading?

No, and that is the point. The deleted content is not in the new file. Keep your original, and redact from a copy.

Is the document uploaded when I search or redact?

No. Searching, drawing and redacting all happen in your browser. The file, the boxes and the words you search for never leave your device. You can check it yourself.

What about comments, form fields and metadata?

They are stored separately from the page. The tool can clear document properties and thumbnails for you. Use Flatten PDF to fix form values into the page before you redact, and Remove metadata to strip comments and attachments.

Can I redact the same word everywhere at once?

Yes. Use Find text, check the shaded matches, and press Redact all. You can skip individual matches first.

Is there a limit on pages or file size?

There is no fixed page limit; the limit is your device’s memory, so very large files work best on a computer. A single search collects at most 1,500 matches, and tells you if it stopped there.

Can I search with a pattern instead of an exact word?

Yes. Tick “Treat as a pattern (regular expression)” and use standard pattern syntax, for example \b\d{6}\b for any six-digit number. There are also one-click searches for email addresses, UK phone numbers, National Insurance numbers, card-like numbers and UK postcodes.

Black or white fill: which should I use?

Black is the convention for legal and public documents because it shows readers that something was removed. White suits tidy-ups where the gap should simply look blank.

Does redacting a signed PDF keep the signature valid?

No. The file is rewritten, which changes the bytes a digital signature protects. Treat the redacted copy as unsigned and keep the signed original.

Why does it offer to clear document properties?

Titles, subjects and authors can repeat the very names you removed from the page. The option is ticked by default and you can untick it to keep them.
